Shared Inbox for a Growing Team: Grey vs Front, Help Scout, Zendesk and Google Groups
Disclosure: Grey Master Inbox belongs to the City Profit group, which publishes this site. Competitor prices come from public pricing pages in September 2026. Grey’s feature list below comes from its own tool page, so compare feature by feature before you switch.
The real question: a mailbox problem or a support problem?
Two very different needs hide behind the phrase shared inbox. One is a mailbox problem: many addresses (info, sales, orders, support, billing) and several people who must see them without sharing passwords or forwarding messages into chaos. The other is a support problem: tickets, channels, automation, reporting, a knowledge base. Helpdesk vendors sell the second and charge per agent. Many companies with a mailbox problem end up paying for a support suite they use at ten percent.
Annual cost for 5, 10 and 25 agents
Annual billing, list price, before tax. Plan seat limits matter, so the cheapest suitable plan is shown.
| Tool and plan | Price per agent per month | 5 agents | 10 agents | 25 agents |
|---|---|---|---|---|
| Grey Pro (whole team) | flat, $149 a year | $149 | $149 | $149 |
| Zendesk Support Team | $19 | $1,140 | $2,280 | $5,700 |
| Help Scout Standard (up to 25 users) | $25 | $1,500 | $3,000 | $7,500 |
| Front Starter (up to 10 seats) / Professional | $25 / $65 | $1,500 | $3,000 | $19,500 (Professional) |
Grey’s other plans: a $15 three-month demo (up to 50 mailboxes and 3 assistants) and Starter at $59 a year for 15 mailboxes. Help Scout’s Standard plan includes two inboxes, and extra inboxes cost $10 a month each on annual billing. Google Groups collaborative inboxes and Microsoft 365 shared mailboxes are included with those suites, and they are the honest baseline to compare against, because for a team of three they may already solve the problem.
What Grey does, from its own description
- Collects mailboxes from different hosting providers into one stream, while mail stays on your server over standard IMAP and SMTP.
- Gives assistants access without handing over hosting passwords.
- Shows when a colleague is already writing a reply, tracks SLA timers and keeps private notes.
- Clears an overfull mailbox in one click and notifies Telegram through webhooks.
Left out on purpose: a built-in CRM, tracking pixels, a heavy desktop client and deeply nested folders. The tool page does not describe live chat, social channels, phone support or a knowledge base, so a support team that relies on those should not choose it on price alone.
Which business should pick what
IT and software companies
Engineering-led companies often run support, sales, security and billing addresses across two or three mail hosts. A flat-priced inbox that lets the on-call person answer without a new licence is a fast fix. A SaaS with thousands of customers and in-app chat needs a real helpdesk.
Manufacturers of physical goods
Orders, quotes and supplier mail arrive at shared addresses and get lost between managers. Assignment, a visible “someone is replying” signal and SLA timers on request-for-quote emails address that directly. Stay on your ERP or CRM for the order record itself.
Professional services
Firms with a mailbox per client, practice or brand need controlled access more than they need tickets. Removing password sharing is a governance win before it is a cost saving. Web studios and WaaS operators that manage mail for dozens of clients are the tool page’s named audience.
A quick way to test
- List every address your team answers and who touches each one today.
- Count the agents who answer more than five emails a week. Only they need a paid seat in a per-agent product.
- Write down the three features you actually use. If they are assignment, notes and reply status, a shared inbox covers them.
- Run a two-week trial on one address before you migrate the rest.
